Legalization and certification

Notarized Translation

In the vast majority of cases, legalizing documents abroad requires not just a translation but a notarized translation, in other words, one certified with a notary's seal. These requirements apply to almost all personal documents: birth and marriage certificates, secondary school certificates, passports, university diplomas, military ID cards and all kinds of official certificates. Only once certified do these papers acquire the force of official documents and become admissible to the relevant authorities abroad.

The purposes of legalization can also vary widely: employment, obtaining a residence permit, getting married or registering a pension, taking part in court proceedings, buying property, receiving an inheritance – and the list goes on. A notarized translation means that a notary's seal certifies the signature of the translator, a specialist who has the necessary qualifications and is fully authorized to carry out such work. The scope of the translator's competence is such that, where notarization is not required, the translation can always be certified with the translation bureau's seal. Note that the owner of the documents cannot act as the translator, as an interested party.

In some cases, a notarized translation must also be apostilled or consularly legalized. In the first case, the notary's seal and signature are verified by bodies such as the Ministry of Internal Affairs, the Ministry of Justice, the Federal Archival Agency and several others, depending on the type of document. This requirement applies to the legalization of Russian documents in most EU countries, the USA, Canada, Japan and so on. Consular legalization is a more multi-stage and time-consuming procedure, but very few countries require it.
